WHO WE ARE LOOKING FOR

Our client partner’s clinic is seeking a Receptionist to join their team. As our Receptionist, you’ll be the first point of contact for our patients — both in person and over the phone. You’ll manage the patient journey with professionalism and warmth, ensuring seamless communication between our medical and administrative teams.

This is a hands-on role that blends service, organization, and operational excellence in a high-end medical environment.

Location: Malmö, Sweden

Schedule: Full-time, Monday–Friday, 08:00–17:00

Your Key Responsibilities

Patient Experience
  • Welcome patients with warmth and professionalism, ensuring a calm and premium atmosphere.
  • Guide and support patients throughout their visit, answering questions and offering assistance.
  • Manage appointment scheduling, confirmations, and follow-ups.
  • Proactively communicate with patients to ensure all pre-visit requirements (consent forms, health declarations) are completed.
Operations & Administration
  • Handle phone calls, emails, and booking requests promptly and accurately.
  • Maintain patient records and documentation in Boxly and other systems.
  • Manage invoicing, payments, and follow-up on outstanding balances.
  • Optimize daily patient flow between clinic floors and departments.
  • Coordinate deliveries, laundry, supplies, and cleaning routines.
Clinic Standards
  • Ensure the clinic always reflects our commitment to excellence — from reception areas to treatment rooms.
  • Maintain cleanliness, restock consumables, order supplies, and arrange flowers.
  • Support marketing initiatives by updating the website and assisting with social media content (Facebook, Instagram).
Key Success Indicators (KPIs)
  • Patient satisfaction and first impression ratings
  • Telephone response and booking efficiency
  • Conversion rates from lead → consultation → surgery
  • Clinic visual standards and organization
Requirements
  • A service-minded professional who genuinely enjoys helping people.
  • Excellent communicator in Swedish and English, both written and spoken.
  • Detail-oriented, organized, and able to multitask in a fast-paced environment.
  • Confident with administrative tools and digital systems.
  • A proactive mindset – you see what needs to be done and make it happen.
  • Previous experience in healthcare, hospitality, or customer service is highly valued.
