Office and operations manager for thriving biotech company
Presence at the office (Solna) a requirement > 3 days/week
Swedish native speaker, fluent English mandatory
The office manager has the overall responsibility of a welcoming, functioning and safe work environment for the employees of the company, including a direct contribution to the company WES team.
The expected tasks and duties go transversally from HR (Wiki, onboarding) to supporting the company’s critical activities (Invoicing, A/R A/P , goods shipping and tracking…).
A strong sense of care, good organization skills, attention to details and a collaborative mindset will make you a central stakeholder in the company’s daily life.
Previous experience(s) in comparable role a plus, references highly appreciated.
Areas of Responsibilities
Office management and WES- Owns, manages and tracks the financial budget for office management and supplies,
- Coordinates the various services and interventions the company requires (cleaning, security, landlord...) for office security and general wellbeing, including mail incoming and receiving,
- Coordinates the various goods and supplies the company requires to function, including hardware managemnent and supplies, office supplies, recurring laboratory purchases, etc.
- Coordinate and track the various inspections requirements (health department in Solna, Electricity inspection (IF, Elektriska nämnden, Bereko, Presto) and trainings (e.g., fire, first aid , evacuation list, etc.)
- It’s an active, contributing member of the Work Environment Safety (WES) team. WES/Monthly meetings + yearly meetings with actions
- Administrates company-wide softwares (excluding Dropbox, Benchling, ESET),
- Planning and ownership of food ordering recurring and non recurring) and special events
- Travel arrangements on ad-hoc basis (internal and external)
- Animate and keep EZ Wiki up to date
- Manage onboarding& offboarding procedures, maintenance of Breezy, supports the hiring manager, coordinates the various tools (Breezy&Linkedin& Arbetsförmedlingen),
- Redirect entry emails for order@enginzyme.com + info@enginzyme.com , sort incoming phone calls,
- Assign and tag ‘affärsområde’ and projects to incoming supplier invoices
- Send the supplier invoice for approval/authorization
- Coordinate with approver/authorizer if any problems
- Coordinate if goods is delivered
- Creates customer invoices, track payments, manages stakeholders,
- Expenses and credit cards, all in accordance to the company budget,
- Record, store and reference all the company binding agreements (contracts, NDAs), support the best practices established by the different functions,
- Support logistics coordination, including booking shipments, arranging pick-ups, tracking deliveries, coordinating with couriers and external partners, and ensuring shipment documentation is complete and properly stored.
